How to effectively plan security officer annual leave cover

It is that time of year where many people decide to take annual leave and the security industry is no different.  Many officers request time off over the summer months either for holiday, staycation, or childcare for the school summer break. When many team members request time off in the same few weeks, it is important to pro-actively plan to ensure service delivery is not compromised. Team members being away should not disrupt service delivery, effective security cover, or leave sites short of officers and vulnerable to risk due to insufficient staffing.

These are our 4 steps to holiday cover success, conducted by our CCHD team.

Our 4-step process to successfully planning holiday cover:

  • People & Culture collaboration.

Our CCHD team collaborate with our People & Culture team to regularly review outstanding holidays, ensuring they’re planned well in advance. This has been particularly important throughout COVID as many officers haven’t been inclined to take holiday entitlement. We also keep in mind religious holidays and other peak times, which heavily influence our advancing planning. When beginning with a new contract, we work with the client and incumbent to reconcile any holidays owed and ensure the staff being transferred over don’t lose out on their entitlement.

  • Reactive response.

With the above annual leave information, we can effectively and efficiently plan a reactive response to all cover requests. Our team are distributed across the UK, from Inverness to Isle of Wight, ready to plug the gaps in any security teams who need extra support. Reactively responding to requests is what we do best.

  • Plan training.

Sometimes, the relief officer covering the annual leave needs site specific training. We will plan this in pre-emptively, ensuring it is done in plenty of time before they are deployed to that site. Increasing site-specific training for our most reliable and talented relief officers improves our resilience in supporting clients on-demand.

  • Dedicated bench team.

For some clients, we will build them their own dedicated bench team. This is to cover any planned and unplanned leave, such as sickness, holidays, accidents, or shift blow outs (staff cancelling last minute or failing to attend work). Doing this reinforces a security team with a security officer safety net, boosting resilience and relief when needed. Expeditious regularly scored overwhelming high at bench cover/relief cover score – one of our areas of strength.
